Project Kickoff Checklist

Kickoff Checklist contains questions on project related pre-requisites. A user can fill the checklist by selecting either ‘Yes’ or ‘No’ option provided against each question. Kickoff Checklist is particularly important in case of large projects where stakes are high. However, it is discretionary upon a buyer to initiate this process for smaller projects as well.

After a project has been awarded, buyer can initiate Kickoff Checklist by requesting the service provider to submit it. Buyer is required to fix the Kickoff Duration within which service provider can submit the checklist.

The option available to buyer to initiate Kickoff Checklist is for a limited time period only, i.e., 7 days or 30% of the project duration, whichever is less. For example, if you have awarded a project on 10th of June 2008 and the total project duration is 10 days, then Kickoff Checklist option is available till 13th of June 2008.

The maximum Kickoff Duration that buyer can fix is the same as the time available to buyer for initiating project kickoff checklist. However, buyer is free to fix lower checklist duration.

Requesting Kickoff Checklist
Buyer can go to the project details page and click on ‘Request Kickoff’ link.



The following pop-up will appear:



Buyer can specify the Kickoff Duration by selecting the number of days and submit kickoff request. The kickoff status on project details page will show that kickoff checklist has been requested.

An alert and email will be sent to service provider mentioning that buyer has requested a kickoff checklist. The alert and email will also inform the service provider about Kickoff Duration.

Service provider must submit the checklist before the kickoff duration expires. If service provider does not submit checklist within the kickoff duration, no further action would be possible on the checklist and it would be frozen.

Submitting Kickoff Checklist
Service provider can go to project details page and click on ‘Edit Kickoff Checklist’



The following page will appear:



A kickoff checklist in the form of a questionnaire will appear where service provider can select either ‘Yes’ or ‘No’ option. Service provider can also give comments and submit the kickoff checklist. The kickoff status will change from ‘requested’ to ‘submitted.’

Editing and Submitting Kickoff Checklist
When buyer receives Kickoff Checklist from service provider, the project details page will show ‘Edit Kickoff Checklist’ link as follows:



Buyer can click on ‘Edit Kickoff Checklist’ link and view the checklist as submitted by the service provider. If buyer is in agreement with the checklist, buyer can submit the same checklist to service provider. Buyer can also edit some items and send the edited checklist to service provider. If buyer edits the checklist, some disagreed items will be created. Either buyer or service provider can create an issue/task against disagreed item.

The kickoff checklist is completed when buyer submits it. The kickoff status will change from ‘submitted’ to ‘complete’. Buyer would be immediately shown the number of items that are under conflict with the service provider.

Creating an Issue/Task against Disagreed Item
Either buyer or service provider can create an issue/task against disagreed item. The kickoff status on the project details page will show ‘Complete’ after buyer edits/submits the kickoff checklist.

If buyer has edited the checklist, there will be some disagreed items which can be viewed by clicking on ‘Complete’ link shown against Kickoff Status on the project details page. This link is available to both the buyer and the service provider on the project details page. On clicking this link, the following page will appear:



All disagreed items have either ‘Create Issue’ link or ‘View Issue’ link under the ‘Action’ heading. Create Issue link shows that no issue has been created as yet against that item. View Issue link shows that an issue has been created.

Either party can click on ‘Create Issue’ link to create an issue. The following page will appear when an issue is created:



The title of the issue will be displayed after prefixing Kickoff Conflict to the disagreed item/question.
